Privacy Policy

Effective date: [Month DD, YYYY]

[Legal Entity] ("Miletime," "we," "us," or "our") respects your privacy. This Privacy Policy describes the personal information we collect, how we use and disclose it, and the rights and choices available to you.

1. Scope

This Privacy Policy applies to miletime.com and to the Miletime application (together, the "Services"). Miletime is a business software product; the Services are intended for business use and are not directed to children.

This Privacy Policy does not apply to information we process on behalf of our business customers, which is described in Section 6.

2. Information we collect

Information you provide. We collect information you submit through the Services, such as your name, business email address, company name, telephone number, job title, account credentials, billing contact information, and the contents of messages you send us.

Information collected automatically. When you use the Services, we and our service providers may automatically collect technical and usage information, such as your IP address, browser type, device and operating system information, referring URL, pages viewed, and dates and times of access. This information is collected through cookies and similar technologies as described in Section 4.

Information from other sources. We may receive information about you from our service providers, business partners, and publicly available sources, and combine it with information we collect.

3. How we use information

We use personal information for the following purposes:

  • to provide, operate, maintain, and improve the Services;

  • to create and administer accounts, including free trials, and to process payments;

  • to respond to inquiries, schedule demonstrations, and provide customer support;

  • to send administrative and transactional communications;

  • to send marketing communications, subject to your right to opt out;

  • to analyze usage and measure the effectiveness of our marketing;

  • to detect, prevent, and address fraud, security incidents, and technical issues;

  • to comply with applicable law and to establish, exercise, or defend legal claims; and

  • for other purposes disclosed to you at the time of collection or with your consent.

We do not sell personal information for monetary consideration.

4. Cookies and similar technologies

We and our service providers use cookies, pixels, local storage, and similar technologies on our website. These technologies fall into the following categories:

  • Strictly necessary — required for the website and application to operate, including for authentication, security, and fraud prevention. These cannot be disabled.

  • Analytics and performance — help us understand how the Services are used and how they perform.

  • Advertising — where used, help us measure and deliver marketing communications, and may be set by third-party providers.

Our website displays a cookie notice that allows you to accept all cookies or limit them to those that are strictly necessary. You may change your selection at any time through the cookie preferences control on our website, and you may block or delete cookies through your browser settings. Some features of the Services may not function properly if cookies are disabled.

The Miletime application is accessible only to authenticated users and uses cookies that are strictly necessary for authentication, session management, and security.

Do Not Track. Some browsers transmit "Do Not Track" signals. Because no common industry standard for responding to these signals has been adopted, we do not currently respond to them.

5. How we disclose information

We disclose personal information as follows:

  • Service providers. We engage service providers to perform functions on our behalf, including website hosting and management, application hosting, payment processing, email delivery, scheduling, analytics, and customer support. These providers are permitted to process personal information only as necessary to perform services for us.

  • Professional advisors. We may disclose information to our attorneys, accountants, auditors, and insurers.

  • Legal requirements. We may disclose information where required by applicable law, regulation, subpoena, or other legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Miletime, our customers, or others.

  • Business transfers. We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business.

  • With your consent. We may disclose information for other purposes with your consent or at your direction.

6. Information we process for our customers

Our business customers use Miletime to monitor employee work hours. In providing the Services, we process employee time and attendance data on our customers' behalf and at their direction.

Our customers determine what information is provided to the Services, who may access it, and how long it is retained. We process that information solely to provide the Services under our agreement with the customer, and we do not use it for advertising or disclose it except as permitted by that agreement or required by law. We may use de-identified and aggregated information to operate and improve the Services.

If you are an employee of a Miletime customer and wish to exercise rights with respect to your information, please contact your employer, which is responsible for responding to such requests. We will assist our customer in responding as required by our agreement.

7. Data retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. In determining retention periods, we consider the nature and sensitivity of the information, the purposes for which it is processed, applicable legal and contractual obligations, and whether the information may be needed to establish, exercise, or defend legal claims.

8. Your rights and choices
